Translate club policy into booking rules

List membership categories, advance booking windows, guest allowances and course restrictions. Decide what happens when a member's eligibility changes after a booking is made. Separate the rules for a normal round, a tournament and a course closure. Staff need a controlled way to handle exceptions without silently rewriting the rules for everyone.

Test capacity at the busiest moment

Have several members request the last available tee time. Test group changes, cancellations and weather-related closures. Decide how a waiting list progresses and whether a slot is held during payment. The same availability should be shown across the member website and the staff system.

Connect the front desk to the next action

A confirmed booking should tell staff what they need for check-in. Agree which charges, entitlements and payment states are visible. If equipment, carts or other resources are managed, include them in the capacity model. Reconcile cancellations and refunds with the finance process rather than treating a removed booking as a completed refund.

Pilot a defined operating period

Trial with representative memberships and staff before opening the flow widely. Measure booking conflicts, manual corrections and unresolved payment states.
