Map one event to one useful outcome

Choose an enquiry, approved order or received document. Describe the destination record and the evidence that the workflow completed. Check the API supports the required action and that the account has the right permissions. A connector in a catalogue is a starting point, not proof that the entire business process is supported.

Plan for the same event arriving twice

Providers can retry callbacks after a timeout. Save a stable reference and check whether the intended action already succeeded. Retrying an order must not create a second invoice or deduct stock twice. Separate a temporary failure from invalid input; the latter usually needs correction, not endless retries.

Make failure visible to an owner

Agree which errors require an alert, who responds and what information they need. Keep enough history to investigate a run without spreading sensitive data into unnecessary logs. Test unavailable services, expired credentials and unexpected fields.

  • The source event can be traced to its destination record.
  • A failed step is distinguishable from an incomplete business task.
  • A retry cannot silently duplicate a consequential action.
  • An operator can correct data and resume the agreed step.

Choose hosting with operating responsibilities in mind

Managed hosting reduces some infrastructure work. Self-hosting requires updates, backups, protected credentials and incident ownership. It does not mean every connected service keeps data in the same country. Review each destination and provider's terms. n8n is source-available under its applicable licence; confirm permitted use, particularly when offering a service to other organisations.

Use AI only where interpretation helps

Predictable routing and validation often work better as rules. AI may help extract variable documents or classify messages, but uncertain results need a review path. Agree evaluation samples and measure corrected outputs, completed tasks and ongoing costs. Include handover documentation so the process remains manageable when staff or providers change.
